Introduction

This Privacy Policy covers the information we collect about you when you use our products or services, or otherwise interact with us (for example, by communicating with us), unless a different policy is displayed.

“Spojit” or “the Company” refers to Spojit Pty Ltd, a registered company in New South Wales, Australia and any and all wholly owned subsidiaries. Spojit provides a range of global online platforms for data exchange and process automation purposes, including Spojit Lite and iPOP platforms. Spojit also refers to all products, together with ]other services and websites as "Services" in this policy.

This policy also explains your choices surrounding how we use information about you, which include how you can object to certain uses of information about you and how you can access and update certain information about you. If you do not agree with this policy, do not access or use our Services or interact with any other aspect of our business.

Where we provide the Services under contract with an organization (for example, your employer) that organization controls the information processed by the Services. This policy does not apply to the extent we process personal information in the role of a processor on behalf of such organizations.

How we collect your data

When you visit our websites or use our services, we collect personal data. The ways we collect it can be broadly categorised into the following:

Information you provide to us directly

When you visit or use some parts of our websites and/or services Spojit might ask you to provide personal data to us. For example, Spojit asks for your contact information when you sign up for a free trial, respond to an email offer, participate in community forums, join on social media, take part in training and events, contact with questions or request support. If you don’t want to provide Spojit with personal data, you don’t have to, but it might mean you can’t use some parts of Spojit’s websites or services.

When you visit our websites or use our services, we collect personal data. The ways we collect it can be broadly categorised into the following:

Information we collect automatically

Spojit collects some information about you automatically when you visit our websites or use our services, like your IP address. Spojit also collects information when you navigate through our websites and services, including what pages you looked at and what links you clicked on. This information is useful for us as it helps us get a better understanding of how you’re using our websites and services so that we can continue to provide the best experience possible (e.g., by personalising the content you see).

Some of this information is collected using cookies and similar tracking technologies. A cookie is a small text file that’s placed on your computer or mobile device when you visit one of our websites. Spojit, and some of our affiliates and third-party service providers, may use a few different types of cookies. Some are persistent cookies (cookies that remain on your hard drive for an extended period of time) and some are session ID cookies (cookies that expire when you close your browser). The cookies and tracking technologies we use help Spojit to operate our websites and services, enhance and customise your experience across our websites and services, perform analytics and deliver advertising and marketing that’s relevant to you.

There are also cookies set by third parties across our websites and services. Third party cookies enable third party features or functionality to be provided on or through our websites and services, such as advertising, interactive content and analytics. They also enable Spojit to use advertising networks to manage our advertising on other websites.

Information we get from third parties

The majority of information Spojit collects is directly from you. Sometimes Spojit might collect personal data about you from other sources, such as publicly available materials or trusted third parties like our marketing and research partners. Spojit use this information to supplement the personal data we already hold about you, in order to better inform, personalise and improve our services, and to validate the personal data you provide.

Where we collect personal data, we’ll only process it:

  • to perform a contract with you; or
  • where we have legitimate interests to process the personal data and they’re not overridden by your rights; or
  • in accordance with a legal obligation; or
  • where we have your consent.

If Spojit don’t collect your personal data, we may be unable to provide you with all our services, and some functions and features on our websites may not be available to you. If you’re someone who doesn’t have a relationship with us, but believe that a Spojit subscriber has entered your personal data into our websites or services, you’ll need to contact that Spojit subscriber for any questions you have about your personal data (including where you want to access, correct, amend, or request that the user deletes, your personal data).

Third-party payment processor

Spojit uses a third party payment processor to process payments made to us. In connection with the processing of such payments, we do not retain any personally identifiable information or any financial information such as credit card numbers. All such information is provided directly to our third party processor, Stripe, whose use of your personal information is governed by their privacy policy, which may be viewed at https://stripe.com/us/privacy.

Third-Party Service Integration

Spojit’s Service allows you to integrate and create commands for various online third-party services ("Third-Party Services"). In order to take advantage of this feature, you may need to authenticate, register for or log into Third-Party Services through the Service or on the websites of their respective providers. When you enable linking between or log in to Third-Party Services through the Service, Spojit will collect relevant information necessary to enable the Service to access that Third-Party Service and your data and content contained within that Third-Party Service ("Login Credentials"). Spojit will store your Login Credentials long enough to enable linking to the Third-Party Service.

When you enable the Service to link content and data between Third-Party Services, the Third-Party Services will provide Spojit with access to certain information that you may have provided to the Third-Party Services, and Spojit will use, store and disclose such information in accordance with this Privacy Policy and the rules you set to govern the linking. In addition, you can use the Service to share content and Personal Data amongst the Third-Party Services you integrate with the Service. Please remember that the manner in which Third-Party Services use, store and disclose your information is governed by the policies of such Third-Party Services, and Spojit shall have no liability or responsibility for the privacy practices or other actions of any Third-Party Services that may be enabled within the Service.

Spojit may retain certain personally non-identifiable information related to the data or content linked between Third-Party Services (for example, date sent, link configuration, names of the Third-Party Services), for the purpose of improving our Services.

Children

Spojit Services are not directed to individuals under the age of 16. Spojit does not knowingly collect personal information from children under 16. If Spojit becomes aware that a child under 16 has provided us with personal information, Spojit will take steps to delete such information. If you become aware that a child has provided us with personal information, please contact the Spojit support team.

How we use your data

First and foremost, Spojit uses your personal data to operate our websites and provide you with any services you’ve requested, and to manage our relationship with you. Spojit also use your personal data for other purposes, which may include the following:

To communicate with you

This may include:

  • providing you with information you’ve requested from Spojit (like training or education materials) or information Spojit are required to send to you;
  • operational communications, like changes to Spojit’s websites and services, security updates, or assistance with using our websites and services;
  • marketing communications (about Spojit iPOP, Spojit Lite or another product or service Spojit think you maybe interested in) in accordance with your marketing preferences; or
  • asking you for feedback or to take part in any research we are conducting (which we may engage a third party to assist with).
To support you

This may include assisting with the resolution of technical support issues or other issues relating to the websites or services, whether by email, in-app support or otherwise. To enhance Spojit’s websites and services and develop new ones: For example, by tracking and monitoring your use of websites and services so the Company can keep improving, or by carrying out technical analysis of Spojit’s websites and services so that the Company can optimise your user experience and provide you with more efficient tools.

To protect

So that the Company can detect and prevent any fraudulent or malicious activity, and make sure that everyone is using Spojit’s websites and services fairly and in accordance with our terms of use.

Where required by law or where Spojit believes it is necessary to protect our legal rights, interests and the interests of others, the Company uses information about you in connection with legal claims, compliance, regulatory, and audit functions, and disclosures in connection with the acquisition, merger or sale of a business.

To market to you

In addition to sending you marketing communications, Spojit may also use your personal data to display targeted advertising to you online – through our own websites and services or through third party websites and their platforms.

To analyse, aggregate and report

The Company may use the personal data Spojit collect about you and other users of our websites and services (whether obtained directly or from third parties) to produce aggregated and anonymised analytics and reports, which we may share publicly or with third parties.

With your consent

Spojit uses information about you where you have given us consent to do so for a specific purpose not listed above. For example, we may publish testimonials or featured customer stories to promote the Services, with your permission.

Legal bases for processing (for EEA users)

If you are an individual in the European Economic Area (EEA), Spojit collects and processes information about you only where we have legal bases for doing so under applicable EU laws. The legal bases depend on the Services you use and how you use them. This means Spojit collects and uses your information only where:

  • The Company needs it to provide you the Services, including to operate the Services, provide customer support and personalized features and to protect the safety and security of the Services;
  • It satisfies a legitimate interest (which is not overridden by your data protection interests), such as for research and development, to market and promote the Services and to protect the Company's legal rights and interests;
  • You give Spojit consent to do so for a specific purpose; or
  • Spojit needs to process your data to comply with a legal obligation.

If you have consented to Spojit’s use of information about you for a specific purpose, you have the right to change your mind at any time, but this will not affect any processing that has already taken place. Where Spojit is using your information because we or a third party (e.g. your employer) have a legitimate interest to do so, you have the right to object to that use though, in some cases, this may mean no longer using the Services.

How we can share your data

There will be times when Spojit needs to share your personal data with third parties. Spojit will only disclose your personal data to:

  • other companies in the Spojit group of companies;
  • third party service providers and partners who assist and enable Spojit to use the personal data to, for example, support delivery of or provide functionality on the website or services, or to market or promote Spojit’s goods and services to you;
  • regulators, law enforcement bodies, government agencies, courts or other third parties where the Company believes it is necessary to comply with applicable laws or regulations, or to exercise, establish or defend our legal rights. Where possible and appropriate, Spojit will notify you of this type of disclosure;
  • an actual or potential buyer (and its agents and advisors) in connection with an actual or proposed purchase, merger or acquisition of any part of our business; or
  • other people where the Company has your consent.
How we store and secure your data

Spojit uses industry standard technical and organizational measures to secure the information we store. While Spojit implements safeguards designed to protect your information, no security system is impenetrable and due to the inherent nature of the Internet, the Company cannot guarantee that information, during transmission through the Internet or while stored on our systems or otherwise in our care, is absolutely safe from intrusion by others.

Cloud product security

To maximise the security of your information, Spojit uses organizational measures to secure the information we store such as regular reviews and security updates to our infrastructure as well as monitoring and updates of all public libraries we use in conjunction with our Services. For additional security, Spojit utilize world-class data centres and services provided by Google Cloud. These include access control using Cloud Identity and Access Management (Cloud IAM), monitoring services such as Cloud Logging and Cloud Monitoring, and encryption of all data at rest and in transit. How long we keep information

How long Spojit keeps information we collect about you depends on the type of Service you are using and the subscription plan you choose when you subscribe for our Service. Spojit standard tiers of subscription plans offer up to 90 days of data history in the form of logs. Any data older than 90 days are automatically deleted. With your permission and on your request this period can be extended./

Account Information

Spojit retains your account information for as long as your account is active and a reasonable period thereafter (up to 30 days) in case you decide to re-activate the Services. Spojit also retains some of your information as necessary to comply with our legal obligations, to resolve disputes, to enforce our agreements, to support business operations, and to continue to develop and improve our Services.

Where Spojit retains information for Service improvement and development, the Company takes steps to eliminate information that directly identifies you, and only use the information to uncover collective insights about the use of our Services, not to specifically analyze personal characteristics about you.

How to access and control your information

You have the right to request a copy of your information, to object to our use of your information (including for marketing purposes), to request the deletion or restriction of your information, or to request your information in a structured, electronic format.

Update your information

Our Services give you the ability to access and update certain information about you from within the Service. For example, you can access and update your profile information from your account.

Delete your account

If you no longer wish to use Spojit’s Services, you are able to delete your account. That setting is available to you in your account settings.

International Data Transfers

Spojit collects information globally and may transfer, process and store your information outside of your country of residence, to wherever we or our third-party service providers operate for the purpose of providing you the Services. Where Spojit discloses personal data to a third party in another country, the Company puts safeguards in place to ensure your personal data remains protected.

For individuals in the European Economic Area (EEA), this means that your data may be transferred outside of the EEA. Where your personal data is transferred outside the EEA, it will only be transferred to countries that have been identified as providing adequate protection for EEA data (like New Zealand or Japan), or to a third party where we have approved transfer mechanisms in place to protect your personal data – i.e., by entering into the European Commission’s Standard Contractual Clauses, or by ensuring the entity is Privacy Shield certified (for transfers to US-based third parties).
